The information we collect
Information you give us
When you email us or phone us, we collect the details you choose to provide. These are usually:
- your name, phone number and email address
- your postcode and, once you go ahead, your full address
- the service you are interested in
- the number of windows or doors involved
- any message or extra details you add
Information created when we survey and install
If you book a survey or go ahead with an installation, we also keep survey measurements, product specifications, photographs of the openings (where taken), your written quote and contract, installation dates, notes about access, and the certificate and guarantee details issued for the job.
Payment records
We keep records of deposits, invoices and payments, including the amount, date and method. If you pay by card, the card is processed by our payment provider and we do not store your full card number.
Call records
If you phone us, our phone system may log your number and the date, time and length of the call. Where calls are recorded, we will tell you at the start of the call.
Website analytics
If our site uses analytics, it collects basic information about how visitors use the site, such as pages viewed, approximate location and device type. Analytics cookies are only set if you agree to them. Our cookie policy explains this in more detail.
Why we use your information and our lawful basis
Data protection law requires us to have a lawful basis for each use of your personal information. The table below sets out what we use, why, and the basis we rely on.
| Purpose | Information used | Lawful basis |
|---|---|---|
| Replying to your enquiry and arranging a survey | Name, contact details, postcode, service, number of windows or doors, message, call records | Legitimate interests (responding to people who contact us) |
| Preparing your quote, and supplying and installing your products | Contact details, address, survey details, specifications, contract | Contract (steps you ask us to take before a contract, and performing the contract) |
| Notifying the work for building regulations and issuing your certificate through FENSA | Name, installation address, details of the work, completion date | Legal obligation |
| Registering your guarantee and any insurance backing | Name, installation address, contract value, completion date | Contract |
| Keeping accounts and tax records | Invoices, payment records, contract details | Legal obligation |
| Handling complaints, guarantee claims and legal claims | Contract, installation and correspondence records | Legitimate interests (protecting our business and resolving disputes) |
| Improving our website | Analytics data | Consent (through the cookie banner) |
| Sending you offers or news by email or text | Name, email address, phone number | Consent, which you can withdraw at any time |
Where we rely on legitimate interests, we have weighed our interests against your rights and are satisfied that the use is reasonable and expected. You can object to it at any time (see "Your rights" below).
You do not have to give us your information. If you do not, we may not be able to reply to your enquiry, prepare a quote or carry out the work.
Who we share your information with
We never sell your personal information, and we do not share it with other businesses for their own marketing. We only share it where we need to, with:
- FENSA, our competent-person scheme, so the installation can be notified to your local authority and your building regulations certificate can be issued.
- Service providers who act for us (processors), such as our website host, form provider, email provider, phone system, accounting software and payment provider. They may only use your information on our instructions and must keep it secure.
- Professional advisers such as our accountant, insurers and solicitors, where needed.
- Authorities such as HMRC, the police or a court, where the law requires us to.
International transfers
Most of your information is stored in the UK. Some of our service providers may store or access data outside the UK. Where they do, we make sure your information is protected, either because the UK government has confirmed the country has adequate data protection laws, or because we have a contract in place using the standard contractual clauses or the International Data Transfer Agreement approved for use in the UK. You can ask us for more details.
How long we keep your information
We keep personal information only for as long as we need it. Our policy is:
- Enquiries that do not go ahead: 12 months from our last contact with you, then deleted.
- Customer, contract and installation records: 6 years after the work is completed, to meet tax rules and to deal with any contract claim.
- Guarantee records: for the length of your guarantee (10 years from completion) where that is longer than 6 years, so we can honour it.
- Call records: no longer than 12 months, unless linked to a contract or complaint.
- Marketing contacts: until you unsubscribe or withdraw consent.
When the period ends, we delete the information or make it anonymous.
How we keep your information secure
We use reasonable technical and organisational measures to protect your information, including password-protected systems, limited staff access and secure connections on our website forms. No system is completely secure, but we will tell you and the ICO about a data breach where the law requires us to.
Your rights
Under UK data protection law you have the right to:
- Access a copy of the personal information we hold about you.
- Rectification of information that is wrong or incomplete.
- Erasure of your information, where we no longer have a valid reason to keep it.
- Restriction of how we use your information, for example while a correction is checked.
- Object to our use of your information where we rely on legitimate interests, and to direct marketing at any time.
- Portability, meaning a copy of information you gave us in a common electronic format, where we use it under consent or contract.
- Withdraw consent at any time where we rely on consent. This does not affect anything we did before you withdrew it.
To use any of these rights, email [email protected], phone 020 4634 6779 or write to us at Exmouth Market, London EC1R 4QE. We may ask you to confirm your identity. We will reply within one month, and there is normally no charge. Some rights have limits; for example, we may need to keep certain records to meet a legal obligation, and we will explain if that applies.
How to complain
If you are unhappy with how we have handled your information, please contact us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection:
- Website: ico.org.uk
- Helpline: 0303 123 1113
- Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF
